Reporting Definitions and Calculations
Gross Sales
Definition: Gross Sales include all dollar amounts ultimately retained by the restaurant. This encompasses goods and services, as well as fees and service charges that the restaurant keeps.
Included in Gross Sales:
Goods & Services
Fees and Service Charges retained by the restaurant
Excluded from Gross Sales:
Sales taxes charged to the diner (remitted to the government)
Fees charged by BentoBox to the restaurant (e.g., $0.99 service fee for Online Ordering, 3% catering fee, 1% event fee)
Tips or gratuities given to the restaurant’s employees
Formula:
Gross Sales = Goods & Service Subtotal + Pocketed Fees

Net Sales
Definition: Net Sales provide a more accurate representation of a restaurant’s income by subtracting Discounts and Refunds from Gross Sales.
Formula:
Net Sales = Gross Sales − (Discounts + Refunds)
Refunds
When an order is refunded, the Refunds column displays the refunded amounts for:

Refunds are reflected on the day the refund is issued, not the day the order was transacted. Refunded taxes appear in the Tax column, not the Refunds column. The Refunds column does not include:

Discounts
This data point represents the total discount amount applied to an order, including promo codes, loyalty rewards, or on-premise discounts.
Taxes
This data point refers to the total amount of tax applied to an order, reflecting the net tax collected after accounting for any refunds.
Formula:
Taxes = Total Taxes Collected − Refunded Taxes
Service Charges
This data point includes all service charges and fees collected and retained by the restaurant, such as:
Custom Fees
In-House Delivery Fees
Pickup Fees
Shipping Fees
On-Premise Service Charges
COVID-19 Relief Fund
Event Fees
BentoBox and DoorDash fees are not included as they are not retained by the restaurant. Refunded service charges are reflected in the Refunds column.
Tips
This data point includes all tips and gratuities collected by the restaurant. Refunded tips are reflected in the Refunds column and Net Sales calculation, as the restaurant is responsible for handling any tips owed to their team.

Day of Week Average
Definition: This metric calculates the average gross sales for each day of the week across all BentoBox revenue streams, considering the Locations, Channels, and Date Range filter selections.
Formula:
Example: If you are looking at last month’s data for online ordering, and there were 4 Fridays with gross sales as follows:
First Friday: $1,000
Second Friday: $1,500
Third Friday: $1,200
Fourth Friday: $1,300
Total Gross Sales on Fridays Last Month: $1,000 + $1,500 + $1,200 + $1,300 = $5,000
Count of Fridays Last Month: 4
Day of Week Average for Online Ordering Last Month: $5,000 ÷ 4 = $1,250
On average, this store processed $1,250 in gross sales each Friday of last month.
Time of Day Average
Definition: This metric calculates the average gross sales for each hour of the day across all BentoBox revenue streams, considering the Locations, Channels, and Date Range filter selections.
Formula:
Example: If you are looking at last week’s data for online ordering, specifically the 12:00 PM - 12:59 PM time window, with gross sales as follows:
Monday: $100
Tuesday: $150
Wednesday: $150

Friday: $500

Total Gross Sales processed 12:00 PM - 12:59 PM Last Week:

Date, Time-Zone, & Location Considerations
Location-Level Revenue: Revenue channels attributed to their respective location include:

Revenue generated at a specific location will be attributed to that location's local time zone, ensuring accuracy and respecting each location’s time zone. Data will be normalized to ignore time zone differences.
Example: In the “Time to Day (Avg)” chart, the 7:00 PM bar will include revenue from a New York location (orders placed between 7:00 and 7:59 PM Eastern time) and a San Diego location (orders placed between 7:00 and 7:59 PM Pacific time).
Account-Level Revenue: Revenue channels recorded as account-level revenue and attributed to the “Website” location include:

Account-level revenue will be attributed to Eastern Standard Time (EST), regardless of the account's location. This default can be modified in site admin.
Example: If a merchandise order is placed by a website visitor in California at 4:00 PM local time (Pacific), the revenue will be attributed to 7:00 PM (Eastern).
Business Week: To align with ISO standards, the business week begins on Monday, tracking weekly sales from Monday to Sunday. The "This Week" date range filter reflects this period.
Business Day Cut-Off: A standard cut-off time of 3:59 AM applies across all BB locations. A “business day” for Saturday spans from 4:00 AM Saturday to 3:59 AM Sunday.
User’s Time Zone: Components referring to “today” display data based on the user’s local time zone, considering the standardized "business day" cut-off.
Example: If you are a BentoBox customer with a single location in San Diego (Pacific time zone) and you are physically located in New York (Eastern time zone):
Locally, the time is 5:00 AM on Sunday.
When you load the Sales report, Gross Sales today would show “$0,” because the Sunday "business day" has not yet begun in San Diego.
Meanwhile, your business partner in Los Angeles (Pacific time zone) loads the Sales report at 2:00 AM (their time).
Gross Sales today would show the sum of gross sales from Saturday 4:00 AM to 2:00 AM Sunday, as the Saturday "business day" is still in effect in San Diego.
In summary, "today" related data is based on the user’s local time and "business day." When multiple locations across different time zones are involved, the data will be adjusted accordingly.
